Carriers must systematically inspect, repair, and maintain all commercial motor vehicles (CMVs) under its control. All CMVs must be inspected every 12 months by a qualified inspector who has training or certification to inspect and maintain CMVs. In addition, drivers must be satisfied that the motor vehicle is in safe operating condition prior to operating the vehicle by conducting a pre-trip check and ensuring that all safety problems are repaired. Most vehicle-related violations can be prevented by conducting thorough pre- and post-trip inspections.

Per Federal regulations, motor carrier companies are required to maintain certain types of records related to their business operations including, but not limited to:

• Registration (updates due every other year)
• Proof of insurance
• List of drivers and driver qualification files
• Motor vehicle record (MVR) for each driver
• Operator’s Licenses or Commercial Driver’s Licenses (CDL)
• Medical Certificates/Cards for CDL drivers
• Drug and Alcohol Testing Records
• Records of Duty (RODs)/timecards and supporting documentation
• List of vehicles and inspection history
• Hazardous Materials (HM) shipping papers (if applicable)
• Accident Register
